Motorbike Rental Policy

Deposit & payment, damage cover, roadside support, and what's included with every bike — all in one place, so you know exactly where you stand before you ride.

💳 Deposit & Payment

Booking deposit: 30% of the total rental fee, paid online to confirm your reservation. Refundable per our Cancellation & Refund Policy.
Balance: paid in cash or by card when you pick up the bike.
Security deposit: USD 100 per bike, cash or card hold, refunded in full at return once the bike is inspected and there is no outstanding damage, unpaid traffic fine, or fuel charge.

ℹ️ We do not hold guests' passports as a deposit. You keep your passport and travel documents with you at all times — this follows standard international rental practice, and it's simply the right way to do it.

⏰ Rental Duration & Return Time

Billed by calendar day, not 24-hour blocks. A "3-day rental" runs from your pickup on Day 1 through your return on Day 3 — whatever time you pick up on Day 1, that first day still counts as one full rental day.
Return deadline: 17:00 on your last day. Returning after 17:00 is charged as one additional full rental day.

🚨 If You Break Down or Have an Accident

You're riding solo (no guide on standalone rentals), so here's exactly what to do:

Get safe first. Pull off the road. Check yourself and anyone else involved for injuries.
Call or WhatsApp us immediately — +84 904 044 772, answered 24/7. Please do this before arranging any local repair or payment yourself.
Mechanical breakdown (not your fault): we send a replacement bike or mechanic to you at no charge, and the downtime doesn't count against your rental time.
Accident or collision: take photos of the scene and damage, get the other party's contact details if anyone else is involved, and call Vietnamese traffic police at 113 if there's an injury or a dispute. Please don't pay cash on the spot or admit fault to a third party before speaking with us — we'll guide you through it.
Return to our shop (or an agreed meeting point) so we can inspect the bike together.

🔧 Roadside Assistance — Flat Tyres & Minor Breakdowns

Get a flat tyre or run into a minor mechanical issue while riding? Contact us immediately on WhatsApp — +84 904 044 772, staffed 24/7. We'll dispatch help to your location, typically arriving within 30–90 minutes, depending on where you are on the loop and current road conditions.

Standard package: you cover the actual repair cost, plus a flat 150,000₫ callout fee per incident.
Damage Waiver package: both the repair cost and the callout fee are included — no additional charge to you.

ℹ️ This covers routine road issues — punctures, chain problems, general wear and tear. It's separate from a pre-existing mechanical defect in the bike itself, which is always repaired free of charge under "If You Break Down or Have an Accident" above, regardless of package. Response times are estimates and may be longer in remote areas or bad weather; while you wait, please move the bike to a safe spot off the road.

🏍 Two Damage Cover Options — Choose When You Book

Every rental gives you a choice between two damage responsibility options. Exact pricing and the liability cap depend on the bike model and are shown as an option on each vehicle's booking page — here's what the two options mean:

Standard (no extra fee): if the bike is damaged, lost, or stolen during your rental, you're responsible for the actual repair or replacement cost, assessed transparently by our workshop. There is no cap.
Damage Waiver (small extra daily fee): your maximum liability for accidental damage is capped at a fixed amount stated on the bike's booking page, even for major repairs — most guests choose this for peace of mind on Ha Giang's mountain roads.

ℹ️ Damage Waiver does not cover damage or loss caused by: riding under the influence of alcohol or drugs, riding without a valid licence, exceeding the bike's passenger limit, racing, riding outside public roads without telling us, or theft due to the bike being left unlocked. In these cases, the full repair or replacement cost applies regardless of the option chosen.

🪪 Only Licensed Riders May Operate the Bike

The bike is rented to you personally and must only be ridden by someone holding a valid motorbike licence (plus an International Driving Permit for foreign visitors) matching the bike's engine size. Please do not hand the bike to a friend, travel companion, or anyone else without a valid, legal licence — even for a short ride.

⚠️ This is Vietnamese law, not just our house rule. Under Nghị định 168/2024/NĐ-CP (Điều 32, khoản 10), the renter can be fined 8,000,000–10,000,000₫ for letting an unlicensed person operate the bike. Damage Waiver and our travel insurance also do not apply to an incident that happens while the bike is being ridden by an unlicensed person.

⛽ Fuel is not included in the rental price. The bike is handed over with whatever fuel is already in the tank — please refuel as needed during your trip.

🛡 Complimentary Travel Insurance — Now Included on Rentals Too

Every HagiangTrips motorbike rental now includes travel accident insurance through BIC (BIDV Insurance Corporation) — the same insurer covering our guided tours — at no extra cost.

Coverage applies for the duration of your rental booking, provided you hold a valid motorbike licence and International Driving Permit — see our Licence & IDP guide — and follow Vietnamese traffic law.
