Cancellation & Refund Policy

At HagiangTrips, we believe in a transparent, fair, and flexible booking process. We understand that travel plans can change — life happens. Please read the following policy carefully before confirming your adventure with us.

1. Deposit & Payment Terms

A 30% deposit of the total tour cost is required at the time of booking to secure your reservation. The remaining 70% balance is settled in full upon your arrival at our Ha Giang office before departure — payable by cash, credit card, or online bank transfer.

2. Cancellation by the Guest

If you need to cancel, please notify us as soon as possible via our official WhatsApp or email. Cancellation fees are calculated from the date we receive your written cancellation request:

3. Cancellation by HagiangTrips — Weather & Safety Guarantee

Your safety is our absolute highest priority. If HagiangTrips is forced to cancel a tour prior to departure due to severe weather (heavy storms, dangerous landslides) or other unforeseen safety-related circumstances:

• We will offer you a free date change to reschedule your trip at no additional cost
• If rescheduling does not fit your travel plans, you will receive a 100% full refund of all amounts paid

4. Itinerary Adjustments During the Tour

The Ha Giang Loop is a wild and remote region. Our experienced guides and drivers reserve the right to modify daily routes, accommodations, or planned stops if required by weather, road conditions, or safety considerations. These decisions are made solely to protect your well-being. No partial refunds will be issued for adjustments made under these circumstances.

5. Early Departure & Guest-Requested Changes

All accommodations, meals, and services are pre-booked and prepaid to guarantee a seamless experience. Once the tour has commenced, the following applies:

Voluntary Early Departure: If you choose to leave the tour early or return independently at any point during the trip, you assume full responsibility for your own safety, transportation, and arrangements from that point forward. No refunds will be issued for any remaining unused days or services.

Guest-Requested Itinerary Changes: If you request to modify the route, skip planned stops, or change accommodations during the tour, no refunds will be provided for skipped services. Any additional costs arising from the new arrangements will be your sole responsibility.

6. Refund Processing Time

All approved refunds are returned to your original payment method. Please allow 7 – 14 business days for the funds to reflect in your account, depending on your bank's processing time.

Please note: any international banking fees, wire transfer charges, or currency conversion costs incurred during the refund process are the sole responsibility of the guest. HagiangTrips will refund the approved amount in full — all associated bank fees will be deducted from the refund at the prevailing rate charged by your financial institution.
